Your books. Closed on schedule. Every month.

Flat Fee Bookkeeping is a flat monthly retainer for small-business owners — a reconciled monthly close, written inside the accounting software you already run, reviewed by a real person, and priced before the month starts.

Process

A month of books, end to end.

Every engagement runs the same way — five steps, in the same order, every cycle. That’s what keeps your price flat and your close on schedule.

  1. Pull in transactions

All bank, credit, and payment accounts flow in through the software’s existing live feed. Nothing lives in a third-party silo or a parallel ledger.

  2. Categorize & reconcile

Every transaction is coded against your historical patterns, then matched against the cleared balance. Anything ambiguous is flagged for a manual look — never silently guessed.

  3. Review

The reviewer reads the variance: where actuals moved against plan, where receipts are missing, where a merchant name looks new. Variance notes are written for a human reader, not a model.

  4. Close the books

The month-end close is locked once the bank, the credit card, and last month’s open balances all tie. You get a defensible P&L and balance sheet, not a draft.

  5. Monthly summary

A one-page summary lands in your inbox with the numbers that matter, the numbers that need a decision, and what’s queued for next month. You reply when you want; we deliver on schedule.

Who we serve

Built for owner-operated small businesses.

The practice is built for businesses where one or two people make the calls and the books need to keep up. If that sounds like you, the scope is the same.

  • Contractors & trades

Plumbing, HVAC, electrical, and the trades — with or without job costing.

  • Professional services

Consultants, agencies, and licensed practices doing project or retainer work.

  • E-commerce

DTC brands on Shopify or Amazon, plus the wholesale and inventory side.

  • Agencies

Bookkeeping for an agency running multiple client books.

  • Service businesses

Local services — cleaning, landscaping, repair, mobile trades — with steady volume.

  • Other owner-operated

Any small business where one or two owners run the books day to day.

What you get

Books that pay you back, every month.

A clean monthly close is the delivery. The outcomes are what it unlocks — for you, your CPA, your bank, and the next time you negotiate.

  • Books stay current, every month, on a real schedule — not “when I get to it.”
  • Know your actual profit before the month closes, not six weeks later.
  • Catch problems sooner — missing receipts, duplicate vendors, a tax-deduction slipping by.
  • Spend less time on bookkeeping, and zero time training a new platform.
  • Cleaner books for your CPA — fewer billable hours, no catch-ups at filing season.
  • A predictable monthly cost you can plan against, not a surprise at the end of the quarter.
  • Better financial visibility for your next loan, line of credit, or sale conversation.

Why a practice, not an app

Bookkeeping is a service, not a feature.

I close the books myself every month — same person, every time.

The price is the work.

Hourly billing rewards the slowest path. Flat tiers reward getting you a clean close on the same day each month. You stop watching the meter and start watching the books.

Your software is not the product.

Forcing a migration costs you weeks of retraining and a year of clean history. We connect into the tool your team already knows, and we don’t care which one you picked.

Volume and judgement, separated.

We handle the volume so you don't have to think about it. Coding, reconciliation, and anomaly detection happen behind the scenes. Judgment, variance calls, and your monthly summary come from the same person, on the same account, every cycle.

No judgment

No Judgment. Just Numbers.

Messy books aren’t a character flaw — they’re what happens when you’re too busy running the business to run a spreadsheet. Four things you can count on, every month.

01 Confidentiality

Your financials stay between us. What you make, what you owe, what that one job cost — never shared, never gossiped about, never used against you.

02 Integrity

We tell you the truth about the numbers, even when it isn’t what you want to hear. No sugar-coating a cash problem, no hiding a mistake — yours or ours.

03 Objectivity

We look at your books, not your business decisions. We don’t judge what you spend, who you hired, or what that truck cost — we make sure the numbers are right.

04 No Judgment

Behind on invoicing? Shoebox receipts? Mixed personal and business expenses? We’ve seen it all, and it’s genuinely not a big deal. The job is to get you current and keep you current.

You run the business. We’ll make sure the numbers tell the truth about it — quietly, accurately, and just between us.

Compatibility

Works inside the software you already run.

Live connectors for the platforms small businesses actually use. No new login, no parallel ledger, no second source of truth.

Pricing

Three tiers. One quote, in writing.

Every quote is a flat monthly retainer — starting at $350 for the Basic tier — set in writing before any work begins, and the same number month to month. No hourly meter in the background, no surprise on the next statement.

How we set the price

Final pricing depends on monthly transaction volume, the number of bank and credit accounts, any one-time catch-up work, and the add-ons layered on top (the +Trades Package, controller reporting, and so on). The number we send is the number you keep.

  • Basic

Reconciliation, categorization, and a clean monthly close — the floor of the practice.

    $350/month

    • Up to 2 linked bank, credit, or payments accounts
    • Up to 150 transactions / month
    • AI coding + clean monthly close
    • Bank/credit reconciliation inside your existing software
    • One short email Q&A per month
    Request Basic
  • Plus
    Most picked

Adds anomaly review and a quarterly call to the Basic close.

    $650/month

    • Up to 6 linked accounts
    • Up to 750 transactions / month
    • Everything in Basic, plus:
    • Anomaly review with a plain-English variance note per cycle
    • Quarterly review call
    • Vendor & 1099 readiness check
    Request Plus
  • Comprehensive

Adds controller-level reporting and a monthly strategy call to the Plus scope.

    $1,250/month

    • Unlimited accounts (within reason)
    • Up to 2,500 transactions / month
    • Everything in Plus, plus:
    • Mid-month check-in + end-of-month close
    • Cash-flow forecast refresh + tax-prep handoff
    • Monthly strategy call with the practice lead
    Request Comprehensive
What’s not included — and what costs extra.

These sit outside the monthly retainer. We keep them separate so the price on the quote reflects the work you actually need:

  • Payroll. Run on Gusto, ADP, or your payroll provider — not in scope.
  • Tax returns. Handled by your CPA. We do the year-end close and handoff package.
  • Cleanup / catch-up work. One-time, priced against the gap. Quoted in writing before we start.
  • Accounts receivable. Chasing invoices is a separate engagement.
  • Accounts payable. Bill pay is a separate engagement.
  • Invoicing. Creating and sending invoices is a separate engagement.
  • Sales tax. Filings and remittance are a separate engagement.
  • Inventory. COGS / inventory reconciliation is a separate tier.
  • Job costing. In scope under the +Trades Package — see /services/trades.
